Gallery Praxis Desk

The Galerie widget shows a patient's files as tiles. You search and filter them, select several, and process them together.

Where to find the gallery in the patient record

The gallery is not part of the default record layout. You add it as a widget, as described in Add, move, and remove widgets:

1. Open the record configuration.
2. Select Hinzufügen below a column, or the plus icon in a card's tab bar.
3. Select the Galerie widget.

The widget has no configuration options.

Prerequisites

• Your plan includes the Galerie widget. If it is missing, the tab shows the note about the missing license.
• The patient has files whose title matches a configured upload type. The gallery shows exactly the files the history shows.
• You find the permissions for the individual actions in the section Permissions.

Search and filter files

The gallery shows the newest files first. The header offers two filters:

• Suche nach Dateiname: Type part of the file name. The list updates automatically after a short delay.
• Type dropdown: Select Alle or the title of an upload type. Each type has a colored square.

If the gallery finds nothing, it shows Keine Dateien für diese Auswahl. If the patient has no files yet, it shows Keine Dateien vorhanden.

Understand the tiles

Each tile shows the file name and file size below the image. The tooltip shows file name and date.

• Preview image: Images in PNG, JPEG, GIF, WebP, and BMP format appear as a preview image.
• Icon: PDF, video, HEIC, and all other files appear as an icon. The same applies if the preview image fails to load.

If you click a tile while no file is selected, the preview opens in a large view. On the keyboard, press Enter to open it.

Select files

1. Check the checkbox in the top left of the tile. On the keyboard, select a focused tile with the Space bar.
2. Click more tiles. As soon as at least one file is selected, each click selects or deselects.

Two buttons sit above the grid:

• Alle auswählen: Selects all files that are currently visible. An active search and filter limit the selection.
• Auswahl aufheben: Clears the entire selection.

If you change the search or type filter, the selection stays. Selected files stay visible even if they don't match the filter.

Process several files at once

As soon as you select files, the selection bar appears at the bottom of the widget. On the left it shows a text like 3 von 12 Dateien ausgewählt and an X that clears the selection. On the right are four icon buttons. You recognize them by their tooltips.

If you lack the condition, Offisy hides the button.

Send files by email

1. Select the files.
2. Click Per E-Mail senden in the selection bar.
3. Send the files in the transfer window. You find the steps under Document transfer.

The selection stays until sending succeeds.

Download files as a ZIP

1. Select the files.
2. Click Als ZIP-Datei herunterladen.

The ZIP file is named Dateien_{last name}_{first name}_{YYYY-MM-DD}.zip. If several files share the same name, Offisy appends " (2)", " (3)". Offisy does not ask you to confirm. After the download, the selection is empty.

Compare files

1. Select at least two PDFs, images, or videos.
2. Click Vergleichen.

With fewer than two comparable files, the button is disabled. Its tooltip then reads Mindestens 2 PDFs, Bilder oder Videos auswählen. Offisy ignores other file types in the selection.

The first comparable file is the main file, and the others are preselected. In the Dateien vergleichen window, add more files with Datei hinzufügen. Remove one with Datei entfernen. The selection in the gallery stays after comparing.

Delete files

1. Select the files.
2. Click Löschen.
3. Confirm the prompt, for example Möchten Sie diese 3 Dateien wirklich löschen?.

After deleting, the selection is empty.

The permissions Erstellen, Bearbeiten, and Löschen include Anzeigen. The ZIP download checks Anzeigen for each individual file. If it is missing for one file, Offisy does not download the ZIP.
