Configure notifications Praxis Desk

Here you set how automatic appointment notifications by SMS and email look and when they're sent.

This article covers the settings behind them. Manually sending a single message from the patient list is covered in the Send Notifications article.

Where do I find the notification settings?

Open Messages in the main navigation, click the arrow next to Send message, and select Settings. The page is called Message settings and is organized into the tabs General settings, Notification, Email, SMS, and Birthday message.

Fig. 1The five tabs of the message settings.
  1. 1General settings: salutation and threshold warning.
  2. 2Notification: default channel and appointment reminder.
  3. 3Email: design and text blocks per event.
  4. 4SMS: limit, text blocks, and placeholders.
  5. 5Birthday message: automatic birthday greeting.

Required license

This feature requires the Notifications module. If it's not active, the menu item doesn't appear.

Prerequisites

  • You have the Nachrichten & Benachrichtigung: Einstellungen permission.

General settings

  • Company name — name used as a placeholder in notification texts.
  • Salutation form — salutation template, e.g. "Sehr geehrte/r {Anrede} {Nachname}".
  • Notification when threshold is exceeded — the Send notification switch turns on a warning once the threshold (a count) is exceeded.

Notification

  • Default channel — for appointments and course attendance and for reminders each set the default channel: Disabled, SMS, or Email.
  • Default setting for "Send notification" — switches on appointment change, on appointment cancellation, and on appointment request. A hint text explains: "The option is enabled as long as the appointment isn't in the past."
  • Appointment reminder — in the Time to send before appointment start field, you pick a preset value from a dropdown, e.g. 15 minutes, 1 hour, 1 day, or 14 days. There's no free-text field for minutes.
Fig. 2The appointment reminder's timing is a dropdown selection, not a free-text minutes field.

Email

  • Design — select logo, primary color, and secondary color for the email template.
  • Notification — set reply-to, plus whether service name, (gross) price, location, user, and duration appear in the notification. In the ICS file section, you set the description field for the attached calendar entry. Above appointments and Below appointments are frame texts used for all emails.
  • Individual service — its own preview per event: Booking, Change, Acceptance, Rejection, Cancellation, and Reminder.
  • Course / group service — its own preview per event: Booking, Cancellation, and Reminder.

SMS

  • General — Max. number of SMS per notification, frame text At the start of the message, and At the end of the message.
  • Text blocks — the available placeholders: %ANREDE%, %ANREDEGESCHLECHT%, %KUNDENNAME%, %KUNDENVORNAME%, %KUNDENNACHNAME%, %FIRMENNAME%, %LEERZEILE%, and %KUNDENNUMMER%.
  • Reminder, Individual service, and Course / group service — their own texts per event, using the same text blocks.
Fig. 3The text blocks are the only placeholders available for notification texts.

Note: offisy sets the SMS sender ID centrally. You can't change it yourself in the message settings.

Note: Sending SMS usually costs money and depends on your quota.

Birthday message

  • Enable — turns on automatic sending of a birthday message. When the switch is on, the Message field appears for the text.
