View, send, and print annotations Praxis Desk
This article explains how patients and practitioners see saved annotations and what happens to them when you send or print a form. How to draw annotations and which prerequisites apply is covered under Add annotations to a form.
Prerequisites
Required license
This feature requires the Formulare erweitert (Forms extended) or Formulare erweitert + Thieme Aufklärungsbögen (Forms extended + Thieme informed-consent forms) add-on for Praxis and Desk, or a package that includes annotations.
Show annotations to the patient
The patient also sees annotations you save before the form is filled out. When the patient opens the form, a notice appears at the top: "Zu diesem Formular gibt es Anmerkungen für Sie." (There are annotations for you on this form.) Anmerkungen ansehen (View annotations) opens the Anmerkungen window. It shows only the steps that have annotations and you can't edit it.
When it opens, the window jumps to the first annotation and briefly highlights it. The bar at the top shows, for example, "Anmerkung 1 von 3" (annotation 1 of 3). Vorherige Anmerkung (Previous annotation) and Nächste Anmerkung (Next annotation) jump through the annotations from top to bottom. After the last one, it continues with the first.
If you save annotations while the patient already has the form open, the notice appears only after the patient reloads the page. Once the patient has submitted the form, the patient no longer sees the annotations.
View annotations when completing
Once the patient has submitted the form (status Ausgefüllt), the complete window opens. There, use the switch next to Ausfüllen (Fill out) to change to Anmerken (Annotate) and see the annotations. With the Formulare: Anmerkungen permission, the switch is always visible. Without it, the switch appears only when annotations exist. On forms with multiple steps, Offisy shows Step X of Y above the form.
The bar with the Vorherige Anmerkung and Nächste Anmerkung arrows exists only in the patient's view, see Show annotations to the patient.
When you click An Patient senden (Send to patient), a prompt always appears. If the form contains signatures, they expire. The form then has to be signed again. Offisy keeps your annotations. When the patient fills out the form again, they see them, and the form has the status Offen (Open) again. If you haven't saved your annotations yet, Offisy asks before sending, with Speichern und weiter (Save and continue) and Verwerfen (Discard).
View annotations in the document history
Every saved annotation appears as its own entry in the document history, labeled "Die Anmerkungen wurden gespeichert." (The annotations were saved.). Click an earlier entry to view that state.
Only people with the Formulare: Anmerkungen permission see the entries for annotations. An entry is created only when something in a step has changed. You can only see the history itself with the corresponding history permission.
Send and print annotations
Offisy doesn't include annotations by default when you send a form out. They appear in the printout and in the form's PDF download. When you send documents by email, you decide. The form preview has a Mit Anmerkungen (With annotations) switch, which is off by default. If you switch it on, the PDF you send includes the annotations. PDFs sent to a DaMe mailbox do not include the annotations.
All annotations on a form share one layer — there's no per-person separation. Anyone with the Formulare: Anmerkungen permission (Forms: Annotations) can edit and delete any annotation, no matter who originally drew it. You can see who saved when in the document history.
Very elaborate drawings in a single step can cause saving to be refused. Offisy then shows "Die Zeichnung ist zu groß. Bitte entferne einen Teil der Zeichnung und speichere erneut." (The drawing is too large. Please remove part of the drawing and save again.) In that case, delete part of the drawing, see Delete the annotations in a step.
