Set Up a Webservice User in FinanzOnline Praxis Desk Kasse

With a webservice user, offisy registers your cash register with FinanzOnline automatically and verifies the start and annual receipts for you. This article shows how to create the access and enter it in offisy.

Prerequisites

• You have access to FinanzOnline.
• You have RKSV Premium or RKSV Unlimitiert, see RKSV Tiers. With RKSV Basic, there is no webservice access unless you add the add-on RKSV Webservice für Paket Basic (Kasse).

Required license

The FinanzOnline webservice is included in RKSV Premium and RKSV Unlimitiert. With RKSV Basic, you can add it through the add-on RKSV Webservice für Paket Basic (Kasse), see RKSV Tiers.

How to proceed

Create the webservice user in FinanzOnline

There are two ways. You only need one of them.

Option 1: via "Eingaben"

1. Log in to FinanzOnline.
2. Open Eingaben > Registrierkassen.
3. At the very bottom, select Anlegen eines Benutzers für Registrierkassen-Webservice.
4. Assign a Benutzer-Identifikation. It has 8 to 12 characters, at least one letter and one digit, no umlauts and no special characters.
5. Assign a PIN with 8 to 128 characters, at least one letter and one digit, and repeat it under PIN-Wiederholung.
6. Click Anlegen.
7. FinanzOnline shows you the Teilnehmer-Identifikation. Note it together with the user ID and PIN.

Option 2: via "Admin"

1. In FinanzOnline, open Admin > Benutzer Einzel.
2. Enter the user ID and click Anfordern.
3. Under Benutzerkennung/Benutzerarten, set Benutzer für Registrierkassen-WebService to Ja.
4. Click Weiter, check the data with Daten prüfen and click Speichern.

Note: The menu names come from the BMF handbook and the offisy guide. They may differ in the current FinanzOnline.

Note: If you don't see the item Anlegen eines Benutzers für Registrierkassen-Webservice, your UID number is probably missing. Ask your tax office to enable the "U-Signal".

Such a webservice user can only call the cash register webservice. You can't use it to log in to FinanzOnline yourself. Your tax advisor can create the access for you via option 1 with a power of attorney.

Enter the access in offisy

You can enter the access directly in the certificate wizard or later on the RKSV page.

In the certificate wizard

In the 2. Schritt - Zertifikatsinformationen, you find the section FinanzOnline - WebService Zugang on the right.

1. Under Ich möchte, diese Funktion ..., select verwenden.
2. Enter the Teilnehmer-Identifikationsnummer, Benutzer-Identifikationsnummer and PIN of your webservice user.
3. Click Weiter.

offisy points out that your own FON access doesn't work. You need the webservice user.

On the RKSV page

1. Open Kasse > RKSV.
2. In the FinanzOnline Webservice Zugang section, click Einrichten.
3. Enter the Teilnehmer-Identifikation, Benutzer-Identifikation and PIN.
4. Click Speichern.

offisy checks the login immediately. On success, the message "Ihre Finanzonline Daten sind gültig und wurden erfolgreich gespeichert!" appears. The section then shows the badge Aktiv.

Note: If you work with tenants, you enter the access in the tenant settings. The certificate wizard then shows the note "Mandanten aktiv! WebService Einstellungen definieren Sie bitte in den Mandanteneinstellungen!" in the step "Zertifikatsinformationen".

Common errors

• "Die übermittelten Zugangsdaten sind ungültig." Check the participant ID, user ID and PIN for typos. Your personal FinanzOnline credentials don't work here. You need the webservice user.
• "Benutzer nach mehreren Fehlversuchen gesperrt." The webservice user is locked after several wrong login attempts. Resolve the lock in FinanzOnline.
• "Der Benutzer ist kein Webservice-User." You entered the credentials of a regular FinanzOnline user. Create a webservice user and enter that one.
• Badge "Zugang fehlerhaft": Login with the saved data fails. Check the data in the FinanzOnline Webservice Zugang section and save it again.
