Create appointment Praxis Desk
In the calendar you can create different entry types — from individual services with a client to vacation and sick leave.
Appointment types
offisy distinguishes the following entry types in the calendar:
| Type | Description |
|---|---|
| Individual service | Appointment with one client for a specific service |
| Break | Planned interruption (standard or custom break type) |
| Private | Personal block with no client reference |
| Vacation | Full-day absence for a staff member |
| Sick leave | Sick-day absence for a staff member |
| Course | Service across multiple fixed appointments for a group |
| Group appointment | One-time service for multiple clients at the same time |
Note: Public holidays are automatically added from the holiday configuration. Entries of type External come from a calendar sync (e.g. Google Calendar) and cannot be created manually.
Prerequisites
- You have the Manage appointments permission.
How to
Create an individual service
An individual service is an appointment with exactly one client for a specific service.
- Click on a free time slot in the calendar.
- Enter a name, date of birth, or phone number in the search field.
- Click the client in the suggestion list.
- If the client is not yet in offisy: click Create new client, fill in first and last name, and click Save.
- Select a service from the list.
- Duration, staff member, and location are automatically filled in from the service configuration.
- You can only select services configured for the respective staff member and location.
- Adjust date, start time, and end time as needed.
- Optionally assign a resource (e.g. treatment room, equipment). This option only appears if the Resources module is included in your license.
- Optionally enter an internal note. Notes are only visible to staff members.
- Click Save.
Note: For recurring appointments, enable the Recurring option and choose the interval (daily, weekly, monthly, etc.) and the end date of the series.
Add vacation
Vacation entries are always created as full-day entries. You can block multiple days at once.
- Click on a free time slot in the calendar.
- Select the type Vacation in the menu.
- Select the staff member.
- Set the start date and end date.
- Click Save.
Add sick leave
Sick leave entries behave like vacation: they are created as full-day entries and can span multiple days.
- Click on a free time slot in the calendar.
- Select the type Sick leave in the menu.
- Select the staff member.
- Set the start date and end date.
- Click Save.
Add a private entry
Private entries block time without a client reference. Other users see the slot as occupied but not the content.
- Click on a free time slot in the calendar.
- Select the type Private in the menu.
- Adjust date, start time, and end time.
- Click Save.
Add a break
Breaks block time for planned interruptions. You can choose between standard breaks and custom break types (with their own icon and color). Full instructions are in the article Add a break to the calendar.
Create a course or group appointment
Courses and group appointments are entries for multiple clients at the same time. A course consists of multiple fixed appointments; a group appointment is a one-time event. Both are created from the services area. Full instructions are in the article Create a course or group appointment.
Common issues
- Client not found: Check the spelling or search by date of birth or phone number. New clients can be created directly from the appointment dialog.
- Service not selectable: The service is not configured for the selected staff member or location. Open Settings → Services and check the assignments.
- Resource already occupied: Choose a different time or a different resource. Occupied resources are color-coded in the calendar.
