Managing orders Desk

Every order from your webshop lands in the order overview. There you see the status, amount, and line items of each order.

Where do I find the order overview?

Open the Webshop order overview. If you have access to multiple companies, pick the company you want at the top. By default, the overview shows orders from the current month.

Requirements

  • The Webshop module is active for the company.
  • You have permission to view orders.
  • To edit or cancel orders, you also need the matching permission (see Permissions).

Order statuses

Every order has a status:

  • Processing – the order is currently being processed.
  • Payment pending – the customer hasn't paid yet.
  • Payment failed – the payment couldn't be completed.
  • Payment received – the payment has come in.
  • Completed – the order is fully handled.
  • Canceled – the order has been withdrawn.

Data table

The table shows the name from the billing address, the order date, the order number, the status, and the amount for each order. By default, orders are sorted by order date in descending order, with the newest order on top.

New orders and status changes appear in the table automatically, without reloading the page.

Row actions

Each order gives you these actions:

  • View – opens the order details in the Order overview modal.
  • Edit – opens the Edit order modal. Fill in First name, Last name, Email, Street, Zip code, and City. All fields are required. The modal only changes the billing address of the order.
  • Resend voucher by email – resends the voucher to the email address on the order.
  • Download voucher – downloads the voucher as a PDF file.
  • Cancel – cancels the order after you confirm in the dialog. The order then gets the Canceled status.

The Order overview modal also shows the shipping address and order details (order number, order date, invoice). It also lists the individual line items with quantity and product, plus the recipient for vouchers. The Related invoices section shows the invoices linked to the order. The modal buttons give you the same actions as the table. These include Edit, Resend voucher by email, Download voucher, and Cancel order.

Permissions

The order overview distinguishes four permissions:

  • Anzeigen – view orders.
  • Hinzufügen – needed for internal processes.
  • Bearbeiten – change the billing address.
  • Löschen – cancel an order.

Ask your administrator if you're missing one of these permissions.
