Configure availability Praxis Desk

If a customer or patient can't find any open slots on your booking page, it's almost always about a user's bookable hours. This article shows you where to set them and which other settings affect availability.

Prerequisites

  • The Online Booking Calendar is set up and activated.
  • You need the Benutzer: Bearbeiten permission.

Bookable hours per user and location

Bookable hours are the most important setting. They define on which days of the week and at which times a user is bookable online — separately per location where they work.

  1. Open Settings → Benutzer.
  2. Select the user and open the Buchbare Zeiten tab.
  3. At the top, select the location you're entering hours for.
  4. Enter the from and to time for each day of the week.
    • Click Öffnungszeit hinzufügen to add multiple time blocks per day, e.g. 08:00–12:00 and 14:00–17:00.
  5. Click Speichern.

Note: A day of the week with no hours entered is not bookable at that location, regardless of any other setting.

Individual bookable hours for exceptions

For single days that differ from the regular hours (e.g. an earlier start or an extra weekend slot), use individual bookable hours. They override the regular hours for the selected day.

  1. Open Settings → Benutzer, select the user, and open the Individuelle buchbare Zeiten tab.
  2. Click Individuelle Buchbare Zeiten erstellen.
  3. Choose Datum (date), Beginn (start), Ende (end), and Standort (location).
  4. If needed, enable Wiederholung (repetition) and pick an interval (daily, weekly, monthly, or every 2 to 6 weeks) and an end date.
  5. Click Speichern.

Holidays

On an activated holiday, the entire day is unavailable, regardless of bookable hours. See Public Holidays for how to activate holidays.

Appointments, breaks, vacation, and sick leave

Any existing appointment on a provider blocks the corresponding slot — this applies to customer appointments as well as breaks, vacation, sick leave, blockers, and private appointments. An appointment with status Angefragt (requested) already blocks the slot, even before it's confirmed.

Settings in the Online Booking Calendar

Several settings in the Online Booking Calendar also affect availability, on top of the hours themselves. For details, see Set up the booking calendar:

  • Buchbare Wochen (Kalender tab on the user) — how far in advance customers can book, default 6 weeks.
  • Buchungsintervall (Kalender tab on the user) — the time grid of offered slots. Default is the duration of the respective service, but you can also fix it to 15, 20, 30, 45, or 60 minutes.
  • Terminbuchungen in the Terminbuchung tab of the booking settings — the lead time between booking and appointment start, no lead time by default.
  • Verfügbarkeit des Benutzers überprüfen in the Grundeinstellungen tab of the booking settings — hides users with no open slot from the selection. If disabled, a user shows up even without any open slots.

If an appointment uses a resource (e.g. a room or a device), its bookable hours and existing reservations count toward availability too. See Manage resources for details.

Location, service, and user must be bookable online

Even with correctly entered hours, a user stays invisible if any of these three toggles is missing:

  • The location is bookable online.
  • The service has the Online buchbar toggle enabled.
  • The user has the Online buchbar toggle enabled in their Kalender settings tab.

Common mistakes

A day of the week is missing from the "Buchbare Zeiten" tab. The day only shows up there if it's enabled under Angezeigte Tage in the same user's Kalender tab. Enable the day there first.

An individual time slot at another location blocks the day. If you add an individual bookable hour for a user at location B, they're fully blocked at location A on that day — even if regular hours are set up there.

A "requested" appointment already blocks the slot. Customers see the slot as taken as soon as an appointment is requested — even if you haven't confirmed the request yet.
