Configure email settings for forms Praxis Desk

Here you define how automatic form emails to your patients look and how long the links stay valid.

Where do I find the settings?

Go to Settings > Forms > Settings tab.

Prerequisites

Active license for the Forms module.

Customize the email subject

In the Email subject field, you set the subject line of the form email.

You can insert the following placeholders by clicking them:

PlaceholderMeaning
{UNTERNEHMEN}Name of the company or practice
{DATUM}Current date in DD.MM.YYYY format
{FORMULARNAME}Name of the form

Default: {UNTERNEHMEN} - {FORMULARNAME}

Customize the email text template

The rich text editor determines the content of the form email. You can write the text freely and insert placeholders by clicking them:

PlaceholderMeaning
{ANREDE}Personal salutation of the patient
{UNTERNEHMEN}Name of the company or practice
{DATUM}Current date in DD.MM.YYYY format
{BUTTON}Clickable button link to the form

Note: The {BUTTON} placeholder must be present in the email text. Without it, the email contains no link to the form and patients can't open it.

Set the validity period

In the Validity period field, enter a number and a unit (e.g. "7 days").

After this period, the form link is no longer accessible. Patients who try to open the form after expiry will see an error message. Expired forms appear in the journaling with the status Expired. You can resend them to generate a new link.

Customize the button text

In the Button text field, you set the label of the button or link patients click to open the form.

The default value is Formular ausfüllen. This field is required and needs at least one character.

The configured button text appears on the button that the {BUTTON} placeholder generates in the email text.

When you link forms to services, you can use the {LINK:Formularname} placeholder in the email text to set a custom link name. If you don't specify a name, the configured button text serves as the default text for the link.
