Services in the Patient Record Praxis
The Services widget in the patient record lets you document billed services directly on the patient. These entries form the basis for creating fee notes later.
Where do I find billing services in the patient record?
The Services widget appears in the patient record. It's a configurable widget — an administrator must enable it in the layout.
In the widget you see all recorded services for the patient in a table, filterable by status:
- All — all services
- Open — services not yet billed
- Billed — services already included in a fee note
- Ignored — services marked as non-billable
Add a service
Open the Patient Record of the desired patient.
Scroll to the Services widget.
Click Add Service.
In the search dialog you can find a service in two ways:
Via favorites: Favorited services appear at the top of the list without needing to search.
Via search: Type the name or number of the service. The search covers both your own services and activated provided lists simultaneously.
Optional: You can filter by insurer to show only insurer-specific services.
Click on the desired service.
An edit window opens with the following fields:
- Description — name of the service (pre-filled, editable)
- Number — service number (pre-filled)
- Date — service date (default: today)
- Quantity — amount of the service
- Gross Price — price incl. VAT (pre-filled, editable)
- VAT — tax rate (pre-filled)
- Discount — optional discount in euros or percent
- Diagnosis — optional free-text diagnosis entry
Note: If Open edit window is enabled for the service in settings, this window opens automatically. Otherwise the service is saved directly with default values.
Click Save.
Note: The service list only shows active services. Also, only services matching the patient's insurer are shown (e.g. only ÖGK services for ÖGK patients) if insurer binding is set.
Edit a service
- Click on the name of the service in the table.
- The edit window opens with the saved values.
- Adjust the fields and click Save.
Note: You can only edit services that haven't been billed yet (status Open). Already billed services are locked.
Delete a service
- Click on the action menu of the service (three dots).
- Select Delete.
Note: Services that are already on a fee note (status Billed) can't be deleted.
Add multiple services at once
You can use the search dialog multiple times to add services one after another. Alternatively, when creating a fee note you can include all open services for a patient at once.
Mark a service as "Ignored"
If a service shouldn't be billed (e.g. a complimentary service), you can mark it as Ignored:
- Click on the action menu of the service (three dots).
- Select Ignore.
Ignored services appear under the Ignored filter and are not suggested when creating a fee note.
Data table
The table in the Services widget shows the following columns (configurable by the administrator):
| Column | Description |
|---|---|
| # (Quantity) | Amount of the service |
| No. | Internal service number |
| Description | Name of the service performed |
| Diagnosis | Stored diagnosis |
| Status | Open / Billed / Ignored |
| VAT | Tax rate in % |
| Total | Gross amount |
| Total Net | Net amount |
| Discount | Stored discount |
| Date | Service date |
| Client | Only with multi-client module |
Link to appointments
When a treatment is billed via the Waiting Room List or an Appointment, services can be recorded directly in the context of the appointment. The service date is automatically set to the appointment date.
Transfer to a fee note
All services with status Open are available when creating a fee note:
- Open the fee note creation for the patient.
- In the Bill Services dialog you see all open services for the patient.
- Select individual services or click Add All Services.
- Add further line items and complete the fee note.
After the invoice is created, the status of the used services changes to Billed.
