Export and Transfer Accounting Data for Your Tax Advisor Praxis Kasse Desk

The accounting export creates CSV files of your revenue and invoice data for your tax advisor.

The basic function (settings, account assignments, customer accounts, export of customers, invoices, cash book, and payments) requires the Accounting Export module for Praxis, Kasse, and Desk. Automatic email transfer to your tax advisor requires the extended Accounting Export Extended module, also for Praxis, Kasse, and Desk. What is the accounting export used for?

You use it to prepare your accounting data for a target accounting software: BMD or RZL. You export the following data as CSV:

  • Customers – customer accounts (accounts receivable) for your clients.
  • Invoices – invoice data for the selected date range.
  • Cash book – only available with target software BMD.
  • Payments – only available with target software BMD.

With the extended module, you also transfer this data automatically by email to your tax advisor instead of downloading it manually.

Where do I find the accounting export?

Open the data export overview and click Select in the Accounting section. This takes you to the Accounting Export page.

From there, click the Settings button (gear icon) to open the Accounting Export Settings page. Use the Go to Data Export button to return. You can also reach the settings from the company settings under Accounting Interface.

A status badge next to the title shows whether a target software is configured: green with the target software name, or red with Not Configured.

Requirements

  • The Accounting Export module must be active in your license.
  • The Exportieren permission for the data export, and Einstellungen for the settings page.
  • For automatic transfer: the Accounting Export Extended module and the Übermittlung per E-Mail permission.
  • A target software (BMD or RZL) must be selected in the settings. If no target software is set, the export page shows a message with a link to the settings instead of the export buttons.

Set up the accounting export

  1. Open Accounting Export Settings.
  2. In the General Settings tab, choose your Default Target Software (BMD or RZL).
  3. Choose the Filter By option: payment date, creation date, or partial payments (BMD only).
  4. In the Account Assignments tab, set up your customer accounts, general ledger accounts for cash/debit card/credit card, and your offsetting accounts.
  5. With target software BMD: configure the desired CSV columns per area in the Export Settings tab.
  6. Click Save.

You'll find additional account assignment fields in the customer profile (Account for Accounting Export), on the payment method under the BMD tab, and in the tenancy settings under Cost Center.

Deprecated Columns in the Cash Book

In the Export Settings tab, with target software BMD, the Cash Book area groups three columns separately in the selection menu under the heading Deprecated: USt, Bruttobetrag, and USt Betrag (veraltet). They remain selectable, but they're no longer the recommended configuration.

The current, recommended columns are USt %, Nettobetrag, and USt Betrag instead.

Why These Columns Are Deprecated

The USt column always enters the fixed value 0 in the cash book, regardless of the actual tax rate. Combined with USt Betrag (veraltet), which provides an actual tax amount, the two values contradict each other. According to the BMD online help, BMD then rejects the import with the error message "Steuer: Der Steuerbetrag entspricht nicht dem Steuerprozentsatz!" ("Tax: the tax amount doesn't match the tax percentage").

The current columns USt %, Nettobetrag, and USt Betrag create a separate row with the matching percentage and tax amount for each tax rate that occurs.

Update an Existing Configuration

Existing configurations aren't updated automatically. Update them manually:

  1. Open Accounting Export Settings.
  2. Switch to the Export Settings tab.
  3. In the Cash Book area, remove the deprecated columns USt, Bruttobetrag, and USt Betrag (veraltet).
  4. Add the current columns USt %, Nettobetrag, and USt Betrag.
  5. Click Save.

Warning for Account with Customer Account

If the Konto (mit Kundenkonto) column is configured in the Cash Book area together with USt %, Nettobetrag, or USt Betrag, the interface shows a warning. The warning doesn't prevent the selection, it just alerts you to it.

Reason: for a payment to a customer account, the BMD online help states that no tax amount and no split by tax rate may be transmitted. The tax is already tied to the original invoice.

Export data

  1. Open the Accounting Export page.
  2. Choose the Date Range. If you have multiple tenancies, also select the Tenancy.
  3. Click Customers, Invoices, Cash Book, or Payments to download the corresponding CSV file.

Note: The Customers export doesn't depend on the date range. It always includes all customer accounts.

Transfer data automatically

With the extended module, you enable automatic transfer in the settings under Automatic Transfer. Enter the Recipients (your tax advisor's email addresses) there.

You can then send the data manually at any time using the Send by Email button on the export page. This button only appears if recipients are configured.
